Not every improvement needs a redesign. These are the five upgrades that most often turn a room people avoid into one they book, ranked by how frequently they fix an actual complaint we hear on site.
1. An all-in-one video bar
One device replacing a webcam, a USB speakerphone and a tangle of cables. Camera, microphone array and speaker are tuned together by the manufacturer, which is why a bar usually outperforms three better components chosen separately. For rooms up to about twelve people this is the single highest-impact purchase.
2. A room scheduling panel
A screen outside the door showing whether the room is free, and letting someone claim it on the spot. It is not glamorous, and it eliminates the two most common sources of friction in a shared office: hunting for a free room, and standing awkwardly outside an occupied one.
3. Ceiling microphones
The upgrade people notice without knowing why. Getting microphones off the table means no cable runs through furniture, no handling noise, and consistent pickup wherever people sit. In rooms with hard surfaces the improvement in intelligibility is dramatic.
4. A wireless presentation device
Guests, contractors and anyone on the wrong laptop can share a screen without an adapter. It removes the most common reason a meeting starts five minutes late, and it removes the drawer of dongles.
5. A touch controller tied to the calendar
One-touch join, visible controls for volume and camera, and a clear way to end the call. This is what makes everything else in the room usable by someone who has never been briefed on it.
If you can only do one of these, do the first. If you can do two, add whichever addresses the complaint you hear most.
